  1. 1

    Who handles your data

When you book, the venue named on the booking page is responsible for how your reservation and guest records are used. Seatbook provides the software and processes these records on the venue’s instructions. Contact the venue using the details on its booking page. For questions about Seatbook, email hello@seatbook.app.

  2. 2

    Information used for reservations

The venue receives your name, contact details, reservation date, time, party size and any message you choose to provide. These details are kept to help the venue serve you well: handling booking requests, confirmations, reminders and cancellations, knowing your needs before you arrive, and contacting you if anything about your reservation changes. The venue also records whether you attended; if you missed several recent bookings, it may confirm your next online booking itself instead of automatically. Required fields are needed to handle the booking. Avoid including sensitive information in free-text messages.

  3. 3

    Health information

Some venues ask about allergies, dietary requirements or accessibility needs. Your answers can be health information, so they are always optional and are only sent when you tick the box agreeing to share them with the venue to prepare your visit. You can remove them at any time from your booking’s management page, or by asking the venue or Seatbook. Removing them does not affect your booking.

  4. 4

    Purpose and legal basis

The venue determines and explains its legal basis in its own privacy notice, including handling your booking request and providing the service. Seatbook does not use guest booking details to create a marketing mailing list. For enquiries sent directly to Seatbook and service security, Seatbook uses the information needed to reply, operate the service and prevent abuse, based on its legitimate interests.

  5. 5

    Providers and access

Authorised venue staff and Seatbook support may access records where needed to operate or support the service. Infrastructure providers include Neon for the database, Railway for the API, Vercel for the web applications, Amazon Web Services for email and assets, and GitHub for encrypted backups. Provider processing or support may involve countries outside the European Economic Area. Contact Seatbook for information about the applicable locations and transfer safeguards.

  6. 6

    How long information is kept

The venue determines how long identifiable guest and reservation records are needed and should explain that period in its own notice. Contact the venue for its retention policy or to request deletion; records are not currently erased automatically after a fixed period. Daily encrypted backup copies are retained for up to 30 days. Restoring a backup requires reapplying completed deletion requests.

  7. 7

    Your rights

Depending on the legal basis and applicable exceptions, you can request access, correction, erasure, restriction or portability of your information, or object to processing. Where consent is used, you can withdraw it. Use the privacy request form below to have your data deleted or to get a copy of it across every venue that uses Seatbook; we confirm the request with your email and answer within one month. You can also ask the venue directly, or write to hello@seatbook.app. You may complain to the Portuguese supervisory authority, CNPD, at cnpd.pt, or to your local supervisory authority.

  8. 8

    Cookies and technical information

Booking uses technical cookies and browser storage where needed for language preferences and secure guest access. Requests also produce security and diagnostic records, such as IP address, browser information, request identifiers and errors. Do not share your private booking-management link with anyone you do not trust.
